About the Role

We are looking for ahighly organized and proactive Operations Coordinatorwho thrives in a fast-paced environment. In this role, you’ll serve as the backbone of daily operations—managing client communication, scheduling, team coordination, reporting, and light marketing support. You’ll collaborate with both the internal team and field staff to ensure excellent customer experiences and efficient operations.

Key Responsibilities

  • Customer & Lead Communication
  • Act as the first point of contact for new leads and current clients
  • Handle calls, emails, and messages with professionalism and care
  • Provide accurate quotes and guide clients through the booking process
  • Scheduling & Coordination
  • Book and manage cleaning appointments efficiently
  • Maintain accurate notes in the system to ensure smooth team communication
  • Keep the field team aligned with schedules, changes, and client expectations
  • Team Support & Issue Management
  • Communicate daily with the field team to keep operations running smoothly
  • Help resolve on-the-job issues quickly and effectively
  • Support with phone screenings for new applicants
  • Reporting & Organization
  • Prepare and share daily, weekly, and monthly reports
  • Ensure all records are kept accurate and up to date
  • Marketing Support
  • Assist with posting and engagement on social media to keep the brand visible

Required Skills and Experience

  • Proficiency in both English and Spanish (written and verbal) – required
  • Minimum 3 years of experiencein customer service or administrative roles
  • Proven ability to manage client communication in a professional and empathetic manner
  • Proficiency with scheduling tools, CRMs, and Microsoft Office (Excel, PowerPoint, Word)
  • Highly organized, detail-oriented, and accurate in record keeping
  • Ability to multitask and manage competing priorities in a fast-paced environment
  • Calm and effective problem-solving skills under pressure
  • Customer-service mindset with empathy and professionalism

Bonus Points For

  • Experience in service-based industries (cleaning, hospitality, or similar)
  • Social media management or marketing support skills
