Key Responsibilities Accounts Payable and Receivable Process vendor invoices, contractor payments, and employee reimbursements. In charge of all program and grant compliance. Ensure timely collection of receivables and proper documentation for all disbursements. Maintain and reconcile vendor and contractor files, including W-9 forms and payment terms. Bookkeeping and Reconciliation Record all financial transactions in accounting software (QuickBooks, Bill.com, or equivalent). Reconcile bank, credit card, and PayPal accounts monthly. Maintain supporting schedules for accounts payable, receivable, and prepaid expenses. Grant and Project Accounting - - - Track grant expenditures and ensure alignment with approved budgets. Prepare supporting documentation for federal and private grant reports. Collaborate with the programs team to ensure accurate allocation of costs across projects. Reporting and Compliance Assist in preparing monthly financial reports and balance sheets for management and board meetings. Support annual audit preparation and respond to auditor requests. Ensure compliance with GAAP, 2 CFR 200 (Uniform Guidance), and internal financial policies. Administrative and Support Functions - - - Maintain organized digital financial records and ensure secure storage of sensitive data. Support the Finance Director in process improvement, system automation, and efficiency initiatives. Assist in implementing cost-control measures and budget monitoring processes. Qualifications - - - - - - Associate or Bachelor’s degree in Accounting, Finance, or related field. Minimum of 2 years of accounting or bookkeeping experience (nonprofit or grant-funded organization preferred). Proficiency in QuickBooks Online, Bill.com, and Excel Strong understanding of GAAP accounting principles. Detail-oriented, highly organized, and able to meet deadlines under minimal supervision. Excellent written and verbal communication skills in English and Spanish.
